RECRUITING: SALES & MARKETING CO-ORDINATOR

As a Sales & Marketing Co-ordinator you will be responsible for supporting the full customer journey – from site set-up and sales administration to reservations, completions and aftercare – while ensuring accurate reporting, budget control and compliance. The role also provides day-to-day support to sales teams, manages systems and documentation, and coordinates key operational processes across departments.

KEY RESPONSIBILITIES

As a Sales & Marketing Co-ordinator for Spitfire Homes you will report to the Operations Director and will be responsible for the following:

 

REPORTING

  • Keeping track of the weekly/monthly report and review this weekly/monthly from the report that is sent through
  • Prepare part of the Monthly Board report for Sales Managers and Marketing Manager

 

SITE SET UP AND ON-GOING SUPPORT TO THE SALES CONSULTANTS

  • Order all items that is needed for site set up (as per job description)
  • Liaising with buying for the ordering of fire extinguishers, Vision Hygiene
  • Setting up with either BT or UK Connect
  • Ensuring manning schedules are up to date
  • Supporting the sales consultants on a day-to-day basis with admin queries and issue

 

HEALTH & SAFETY

  • Setting up of the H&S Folder
  • Manage Peoplesafe alarm

 

RESERVATIONS, EXCHANGES & COMPLETIONS

  • Ensuring all deal sheets, reservation forms & checklists are saved in the respective plot folder on SharePoint
  • Ensuring all deal sheets are signed by sales consultants, sales managers and if below book by Directors and that this balances with Coins and House Sales Status report
  • Ensuring that the Affordability Guide has been uploaded onto Coins & Portal. This is also saved into the Customer Care folder on Sharepoint
  • Liaising with accounts to confirm that the reservation fee has been received
  • Authorising the reservation on coins and ensuring that this matches with the reservation form and deal sheet
  • Ensuring that the Spitfire contracts are signed by Managing Director and Sales Director, witnessed and posted back to Lodders
  • Ordering of stock for handover gifts and arranging delivery
  • Checking & approving the completion statements
  • Monitoring of upcoming completions and ensuring that the Living Guide is prepared and uploaded onto the portal
  • Notifying the Utilities companies of the handover of meter readings and occupation
  • Notifying the out of hours emergency contact details
  • Notify NHBC of every reservation, exchange & completion
  • Notify NHBC of any cancellation

 

BUDGETS, PURCHASE ORDERS & INVOICES

  • Collate sales & marketing invoices and liaise with sales managers, marketing manager and sales director for sign off
  • Involvement in both site and corporate budget management/recording
  • Raising of purchase orders through Coins and communicating this with externals
  • Checking budgets against CVR
  • Management Companies
  • Keeping track of service charges on completion
  • Liaising with Sales Director on set ups, running & handover to residents

 

NHBC SURVEYS

  • Checking on NHBC website for 8 week survey and 9 month survey and email these out to everyone in Spitfire
  • Updating the Surveys Overview and Customer Satisfaction Survey when surveys come in
  • Updating Outlook calendar for chasing of the NHBC survey for the sales consultants and chasing up of the 9month NHBC surveys with Customer Care

 

ADMINISTRATION

  • Coins management
    • Authorising reservations, exchanges & completions
    • Entering of purchasers extras
    • Raising of PO’s
    • Data input as and when required
    • Running of reports
  • Ensuring documents are uploaded onto the Portal by the sales consultants
  • Other duties as and when required
  • Updating marketing budgets
  • DocHosting & Portal admin
  • Speaking to purchasers over the telephone
  • Chasing of payment for invoices
  • Looking after the coming soon emailers – communicating and reviewing on coins
  • Opening hours on website
  • Updating ‘Google’ sheets
  • Setting up postal addresses with Royal Mail
  • Distributing post

 

KNOWLEDGE, SKILLS & EDUCATION

Preferably house building experience with skills appropriate for this role:

  • Excel
  • COINS
  • Doc Hosting Drawing Management desirable but not essential
